About the Role
As an HR Intern at Study Group, you will dive into the day‑to‑day maintenance of our digital HR repository. Your primary focus will be on cleaning, organizing, and accurately filing employee documents stored on SharePoint, ensuring that every PDF is split, renamed, and placed in the correct folder structure.
Key Responsibilities
- Audit existing SharePoint HR folders to identify large PDF bundles and assess their content.
- Manually extract individual documents from multi‑page PDFs using Adobe Acrobat or equivalent tools.
- Rename files following the company’s naming convention (e.g., EmployeeID_YYYYMMDD_DocumentType.pdf).
- Move each file to the appropriate employee sub‑folder and document category within SharePoint.
- Spot and flag misfiled, duplicate, or incomplete documents for senior HR staff review.
- Cross‑check file contents against employee records in the HRIS to spot inconsistencies.
- Maintain a log of changes and issues in an Excel or Google Sheet for audit purposes.
Skills & Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or related field (final year or recent graduate).
- Proficiency with Microsoft Excel (basic formulas, sorting, filtering) and Google Sheets.
- Hands‑on experience with PDF editing tools (Adobe Acrobat Reader/Pro, Foxit, or similar).
- Comfortable navigating SharePoint document libraries and folder hierarchies.
- Strong attention to detail, patience with large volumes of data, and basic data‑cleaning skills.
- Knowledge of HRIS concepts and familiarity with HR data structures is a plus.
What You’ll Learn
In this internship you’ll gain practical exposure to enterprise document management, learning how to maintain compliance and confidentiality in a real HR environment. You’ll also develop a solid foundation in HRIS data integrity, SharePoint administration, and the importance of standardized naming conventions for audit trails.
